Reducing no-shows starts at booking
Most no-shows are decided before the reminder is sent. If the person did not really understand what the consultation is, why it matters or what it costs, they are more likely to skip it.
On the booking call, explain what happens at the consultation, how long it takes and what to bring. Confirm the date and time out loud.
Book close to the call
The longer the gap between the call and the appointment, the more likely people forget or change their mind. Where you can, offer slots within the next few days.
This is why accurate calendar availability matters so much. If coordinators can only offer slots three weeks out, show rate drops.
Use a clear reminder sequence
A simple sequence works better than lots of messages.
- Confirmation straight after booking, with the address and parking details
- A reminder the day before
- A reminder a few hours before
- An easy way to reschedule instead of just not turning up
Make rescheduling easy
People who cannot make it often do not cancel because it feels awkward. Give them a simple way to move the appointment. A rescheduled consultation is far better than a no-show.
Follow up every no-show
A missed appointment is not a lost patient. Call the same day, stay friendly and offer a new time. Track how many no-shows rebook, so you can see the full picture.
